Degree Audit

Q. When I pull up the audit report, there are lines of type on top of each other so you can not read it.

A. If you have noticed errors with your degree audit report, we encourage you to go into the Registrar’s Office with a copy of your Degree Audit report to discuss the discrepancies.  The Registrar’s Office staff will be able to review your student record and make any necessary adjustments to correct the problem. If you have encountered a problem in reading your Academic Advisement Report, please report it to your evaluator in the Registrar’s Office. Go online at the Registrar’s Office website at: http://www.dsa.csupomona.edu/registrar/Eval.asp for a list of evaluators.

Q. My Degree audit report has 3 errors. How can I get them corrected?

A. You may submit your question/concern using the Online Inquiry Form located on the Registrar’s Office website at: http://dsa.csupomona.edu/registrar/TC_Form_Major.asp. Your email will go directly to the evaluator handling your major."

Class Rosters

Q. As a faculty member and an advisor, the previous version allowed me to view other class rosters in the advising section. This proved helpful when I was guest lecturing in another professor's course. Not only could I check the total students enrolled for handout count purposes, but I could also check to see who I knew from the roster of names prior to visiting the class. In the new version, I cannot find this option. Can I still do this in some way?"

A. This is an issue that has caused much discussion and does not have a simple solution. As you have probably noticed, the class rosters for your classes now allow you to email some or all students in your class. Unfortunately, the class rosters available through the Advisor Role also have this feature. Allowing Advisors to view class rosters would give a large group of individuals the ability to email entire classes without the approval of a mederator. We are investigating solutions to this problem. Stay tuned to this PeopleSoft/BroncoDirect Newsletter for updates on our efforts. In the interim, your department chair and support staff have access to the class rosters through PeopleSoft.

Q. In the past we used to be able to see and print out our students' email addresses. Now they no longer appear on the class list. While I am aware that it's possible to send Individual or Class Emails, I found the printable email list, (which used to be right on each class roster) much more helpful. When I have to contact individuals from different class segments and/or different classes about specific matters relating to common issues, or problems, I would find it very helpful to have the "old fashioned" printable email "lists" for all studentents in all classes again. Your assistance is much appreciated.

A. We agree with you completely! A modification to the class roster is currently being developed that would include a column for email addresses. It is our plan to have this in place by the beginning of Fall, 2007. Update: The email address is back, and your roster is now customizable, so you can see as much or little of the available information as you want!

Q. How can I download the class rosters to Excel? It used to be quite easy.

A. In the newest version it is actually easier to download data into Excel. On pages where there is a grid icon, you only need to click on the grid icon to download the data to Excel. Because we have several different browsers used across campus, there may be some tips that would be helpful. There is a tutorial entitled Exporting Grid Data to Excel (1.02). On the Instructor home page, the far right column is a link to Tutorials and help pages, click on the link and you will see the link to the Excel tutorial. Please try this tutorial and any others of interest to you.

Permission Numbers

Q. I give a student a permission number and he comes back saying it didn't work and he needs another one. Sometimes this happens several times before he registers successfully. This is aggravating!

A. What’s happening here is that the student enters the permission number and later in the registration process finds out that he has a registration hold. The permission number has been “spent” and is no longer valid. Yes, it’s aggravating for the student and the instructor. Good news! This is one of the flaws that the upgrade will address. Beginning with spring registration permission numbers will remain valid until successfully used. Update: This improvement went into effect with the upgrade in March 2007.

Transcripts

Q. How can I quickly get transcripts from a list of 30-40 students? I have the BroncoNumbers for the students, but bringing up their transcripts individually takes too long.

A. Unfortunately, unofficial transcripts can only be requested and processed one at a time. With the next version of PeopleSoft (v.9.0) we will be able to feed a list of BroncoNumbers and generate unofficial transcripts for the entire list. Unfortunately, this upgrade is a couple of years away.

General or Other

Q. I am pleased with the ability to send email to the entire class (or individually) through Bronco Direct; however, will we ever be able to attach documents to these emails to the class?

A. There are no plans right now to create a modification that would allow faculty to attach documents to emails sent from the class list in BroncoDirect. One way to provide documents to the entire class is via Blackboard.

Q. If I am going to start classes this 2007 fall quarter in Cal Poly Pomona and I want to retake the ELM Placement Test may I do so ?

A. Students may take the ELM (Entry Level Mathematics) Placement Test as many times as desired. An official report of the score must be received before the first day of classes to be used for placement or exemption purposes. Students may take the EPT (English Placement Test) only once.

Q. I don't know if I have discovered a problem with BroncoDirect or not. I sent out e-mails to 2 students today. I got a copy of the e-mails back from the system but it appears that the e-mails were sent by me, to me—and were not forwarded to the students. Has anyone tested this feature in Bronco Direct to see if the options: notify all students and/or notify selected students actually sends the e-mails to the students? If this feature does not work, could we please have the e-mail addresses on class lists as we had prior to this last update? Thank you.

A. I understand why it seems quirky. Let me explain. The system is set up to send a message from you to you with BCCs to the students you're notifying. The reason it's written that way (not by the campus, by the way, but by Oracle) is that the designers assumed (or learned through user focus groups, we hope) that you would prefer not to reveal the list of student names. One reason that you might not want the "to" list to contain all of the student names is if you had a big class (several hundred at some universities) and didn't want that long, long list. Another reason is if you wanted to write to selected students and say something like, "You have missed too many classes" or "You're in danger of failing" you wouldn't want them to know who's getting this message. So what you got isn't a bounce. It's the original message. You don't see the names of the students because they were in the bcc area. In the future you could cut and paste to put the students in the "to" line and yourself in the "bcc" line.
