CIS 466 JAD 2 requirements
Schedule and hold an initial 2nd requirements gathering meeting with your customer, at which Project Director (Dr. Soe) is present, to scope out the project requirements and deliverables in a broad sense
Set up JAD 2 meeting time and place
(usually at customer site).
Offer Dr. Soe and Project Customer several possible times and dates for meeting --
- allow travel time to and from customer site
- When you schedule this meeting, offer the customer and Dr. Soe several possible meeting times

- Your team responsibility is to prepare and conduct the meeting.
JAD 2 availability for Dr. Soe
- Monday & Wednesday: 1 - 4 PM; other times by arrangement
- Friday: 1-2 PM; other times by arrangment
Preparations for JAD 2:
Between JAD 1 and JAD 2, your team should:
hold a weekly planning meeting to figure out:
- Report on previous week's tasks -- which are complete and which need to be carried forward into new week
- Tasks that need to be complete during coming week in order to meet next major milestone
- Time estimates for each task
- Who will do what tasks
Review feedback from instructor on JAD 1
- correct and improve your report 1
- print out a copy to give to the customer
Prepare further questions for customer
- brainstorm questions as a group
- Be sure to have a printed agenda for your meeting with each team member's name listed next to category of questions or role team member plays during meeting give a copy of agenda to instructor - used for notes for grading purposes.
- Group questions into categories
- Each team member should be responsible for one agenda item
- if your agenda item is covered before you get to it, reiterate the answers to the questions
- Often more information will emerge as your customer hears the answers
Meet with instructor about your JAD 2 plans
- get feedback on JAD 2 agenda
- get advice on how to handle meeting
Goals of JAD 2
Team's Responsibility:
Continue Trust building between customer & team members
- Introduce team members at beginning of meeting
- Shake hands with customer and look customer in the eye
- Wear nametags with your names printed large enough to read
- Mention the name of the team member to whom you are passing the meeting as each person takes over an agenda item.
- Eventually customer will give each team member a grade, so you want the customer to know your name and who you are
Requirements gathering: Keep a meeting record
- Have an agenda with every team member's role listed.
- Have one of your team members, who has good communication skills, take notes during the meeting.
- Use a laptop for notetaking
- Record decisions
- Record open issues on which either team, customer, or instructor need to find further information
- The notetaker can group the decisions and the open issues concerning similar parts of the project.
- At the end of the meeting the notetaker reiterates the decisions and open issues from the meeting.
- After the meeting organize the notes still more and send them via email to customer and to Dr. Soe
- really impresses customers
- It also reminds them of any open issues to which they need to respond.
- That will help clarify for both your team and your customer what has been agreed upon and what is still open for further negotiation.
Project Director's responsibility:
- See that your project scope is challenging
- but that the scope of your project and its deliverables are manageable in the time frame of the class
- help you with any problems you have with the project, team members, or customer
Customer's responsibility:
- Meet with you at regular intervals (preferably weekly)
- provide you with information and project content in a timely fashion and as you require it to finish your work
- provide you with feedback on your accomplishments
When you communicate with customer about items, decisions you need
- Indicate clearly what you need
- Indicate what your drop-dead date/time is to receive the information.
- Copy all the team members (use group address) on communication with customer
- CC project director on any requests
