Meeting & Presentation Requirements
where? usually CLA 4-27
times: MW: 1, 2, 3 PM; F: 1 PM; or by arrangement
- JAD 1: 4/9, 4/11, 4/14
- JAD 2: 4/23, 4/25, 4/28
- Prototype 1: 5/7, 5/9, 5/14
- Prototype 2: 5/21, 5/23, 5/26
- Final Presentation: Monday, 6/9: 11:30, 12:30, 1:30, 2:30, 3:30, or by arrangement.
Final presentations will be in Video Studio C, and times depend on studio availability.
Rules of every meeting with customer:
- Prepare an AGENDA and give printed copies to team members, customer(s), and instructor.
- EVERYONE SPEAKS!
- It is the responsibility of the ENTIRE TEAM to make sure everyone on the team has a role to play and talks during the meeting.
- Customers grade team members at the end of the project and "No Opinion" is the worst thing they can say about you.
- They need to know your name and what you do.
Best practices for successful meetings:
Team: hold a planning meeting each week:
- Monitor project tasks and requirements:
- Report on previous week's tasks -- which are complete and which need to be carried forward into new week
- Define tasks that need to be complete during coming week in order to meet next major milestone
- Formulate time estimates for each task
- Define who will do what tasks
- Correct & update your reports.
- Reports define what you are doing
- keep requirements matrix up-to-date so you know where you are.
- Keep your project on track so you complete each milestone and the entire project on time
Contact or meet with customer each week
- The meetings at the top of this page are formal meetings that include the participation of all members of the team, the customer(s), and the instructor.
- In the weeks you do NOT have a formal meeting, MEET with the customer if possible.
- If the customer cannot meet with you, at least contact the customer each week to report on your progress.
- The biggest complaint customers have is the lack of communication with the team.
communicate with customer about requirements, content, decisions you need
- Set up a Google Groups or some other group website where your team can send & receive email (using one address) and can post documents for entire team to see.
- Use a group email address so the team communicates with one voice and everyone has access to all the communication
- Include customer & instrucdtor in your group so we can email the group
- We will opt out of the group email -- we don't want to read it.
- Indicate clearly what you need
- Indicate what your drop-dead date/time is to receive the information.
- CC project director/instructor on any requests from customer to ensure customer pays attention.
Customer's responsibility:
- Meet with you at regular intervals (preferably weekly)
- provide you with information and project content in a timely fashion and as you require it to finish your work
- provide you with feedback on your accomplishments
Instructor's responsibility:
- See that your project scope is challenging
- Ensure that the scope of your project and its deliverables are manageable in the time frame of the class
- help you with any problems you have with the project, team members, or customer
- otherwise let team manage the project
- Instructor will coach you in how to handle a meeting
- Coaching to prepare for final presentation will take place 10th week.
