THE DEPARTMENT 

The mission of the Cal Poly Pomona College of Engineering is to produce well-qualified engineering graduates who are ready for immediate and productive entry into the workforce or for graduate studies. The college does so by providing practice-oriented education based on sound engineering principles and applications, while also emphasizing the teamwork, communication and creative skills needed to be leaders in a global society. The College of Engineering provides study opportunities to more than 5,000 undergraduate and graduate students in seven engineering departments, offering eleven programs leading to Bachelor of Science degrees in Aerospace, Chemical, Civil, Computer, Electrical, Industrial, Manufacturing, Mechanical, Engineering Technology, Construction Engineering Technology, and Electronics and Computer Engineering Technology. In addition, graduate programs are offered for Master of Science degrees in Engineering (with emphasis in Aerospace Engineering), Civil Engineering, Electrical Engineering, Engineering Management and Mechanical Engineering. The undergraduate curricula are accredited by the Engineering Accreditation Commission or the Engineering Technology Accreditation Commission of ABET, Inc. (Accreditation Board for Engineering and Technology). MEP provides recruitment, retention and academic enhancement programs to increase the number of diversity of students who graduate in engineering, especially those from historically under-represented groups, including women.

DUTIES AND RESPONSIBILITIES 

The Administrative Support Coordinator will coordinate the daily operations of the Chemical and Materials Engineering department office and is the first point of contact for students, faculty and staff; responds accurately and efficiently to numerous personal, mail, email, and telephone inquiries; handles a variety of mail and other correspondence, and multiple calendars; input the CME class schedule into the online system; high-level organization and planning skills are required for smooth and efficient operation of the office. The incumbent receives and forwards a wide variety of student documents necessary for students’ academic progress including petitions, course substitutions, change of major requests, drop or withdraw requests and processing of other documents submitted by students and provides knowledgeable information to students regarding procedures for undergraduate and graduate degree programs. The Administrative Support Coordinator acts as a liaison to campus administrators, faculty, and staff on issues related to the Chemical and Materials Engineering department office; coordinates activities with various organizations, departments, and offices on campus; interacts with faculty, staff, and students; represents the department in an informed and professional manner. The incumbent provides administrative support and coordination for department functions and events such as Annual Alumni and student award banquets, Sigma Gamma Tau initiations, Project Symposium, summer orientation, Bronco Engineering days, and Industry Action Council meetings; creates materials for review by the Department Chair and independently handles many logistical and administrative details for these various events.

QUALIFICATIONS

High School diploma or its equivalent AND four years of progressively responsible experience in general office clerical or secretarial work or the equivalent.  Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures; thorough knowledge of English grammar, punctuation and spelling; thorough knowledge of office systems and ability to use broader range of technology, systems, and software packages; ability to independently handle multiple work unit priorities and projects.  Ability to apply a variety of policies and procedures where specific guidelines may not exist; working knowledge of budget policies and procedures; ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections; ability to draft and compose correspondence and standard reports; ability to handle effectively a broader range of interpersonal contacts including those at a higher level and those sensitive in nature.

Finalists for this position may be required to submit to and successfully pass a background check prior to being hired.

PREFERRED QUALIFICATIONS

Previous experience in an educational setting is desirable, in particular experience working with young adults from diverse ethnic backgrounds; positive disposition, high energy, creativity and ability to work as a team member.
