THE DEPARTMENT 

I&IT supports and promotes the mission of the University through the strategic use of information and technology resources of the faculty, staff and students to support and enhance the teaching and learning environment. I&IT Operations provides central technology support for Enterprise Systems, Networking & Telecommunications, Academic & Desktop Support (desktop computing, classrooms, and computer labs) and Student Affairs Information & Technology Services (SAITS).

DUTIES AND RESPONSIBILITIES 

The Lead System Analyst takes the lead role for PeopleSoft implementation and ongoing upgrades, modifications, enhancements elated to the Office of Financial Aid and Scholarships. As time and resources are available, the incumbent will be cross-trained in all areas within the Enrollment Cluster. The incumbent participates, tests systems, and assists other offices in the same; participates in data modeling for campus data warehouse; assistants in report development as needed during peak periods to meet the cyclical demands of the campus; takes a lead role in development, design and implementation of an electronic communication platform for Financial Aid and the Enrollment Cluster for both students and staff. Established student web portals; migrates student correspondence to an electronic media; tracks prospective students; provides students access to their own CPP information via the web; serves as the lead for the Photo ID System, providing technical oversight to develop and implement department vision, policies and procedures. The incumbent analyzes new programs or program modifications to best meet office needs in service to students and maintaining fiscal integrity in awarding and reporting $71 million dollars a year in over 20 financial aid programs; presents new and innovative ways of approaching complex technology problems within the Enrollment Cluster and the rest of the university; performs ad hoc queries and generates statistical reports from PeopleSoft using SQL Plus or 4GL from trend analysis and decision making in staff workloads, fund utilization, retention and enrollment. The Lead Analyst Expert serves as a liaison between Financial Aid and interconnected offices such as Registrar’s Office, Admissions and Outreach, Orientation Services, IRAP, and University Financial Services; demonstrates leadership in the development of solution that combine information and ideas in new, unprecedented ways that will be mutually beneficial to students and the University; facilitates implementation efforts and successful completion of committee projects; works within the Division of Student Affairs to assist other offices with technology issues and projects as requested by the Associate CIO- Operations, Director of SA PeopleSoft & Enrollment Technology or Director SA Applications & Technical Solutions. The incumbent composes and develops numerous complex applications reports and queries from the PeopleSoft Student information system to assist the office and other departments with data needs; designs, creates, and modifies SORs, App Engine modules, both ad-hoc and regular reports via PS Query Structured Query Language (SQL); provides training and assists colleagues in learning SQR. Develops expertise with the numerous financial aid tables and serves as a consultant to external office; develops application using MS access or other desktop-centric products for use in data analysis and evaluation by end users; automates databases using macros or visual basic scripts to simplify processing; develops, maintains, and utilizes assessment tools that measure staff performance, effectiveness of processes, timelines of notification to students and general office productivity. The incumbent coordinates, schedules and tests regulatory upgrades to the PeopleSoft student information system; ensures the validation tables are reviewed and updated in preparation for each processing cycle; troubleshoots data integrity problems or issues relation to incorrect calculations on student records; coordinates security access to new forms and functions to staff members; ensures the integrity and regular backups of office database; troubleshoots database and script failures and develops improvements to existing forms and functions; develops database links to other systems such as BroncoDirect and the PeopleSoft Reporting Database and PeopleSoft; maintains user training and documentation on current systems. Works in conjunction with peers in the Enrollment Technology department to facilitate business process based on extensive knowledge of campus-defined systems including, but not limited to PeopleSoft, Connect II, Singularity, CSU Mentor, eTranscript California, Identity Management and Odyssey. The incumbent creates and maintains interfaces between multiple campus systems; identifies causes of failure and corrects problems when interface between two or more supported campus systems fails; serves as the primary technical resource for the investigation, evaluation, design, development, operation, implementation, and maintenance of process automation; analyzes existing departmental information needs; creates and modifies SQRS, SQL reports and reporting systems for trend analysis and decision-making; analyzes and manages existing databases; develops new databases as needs and interfaces between diverse systems using ODBC and other connectivity tools. Leads the programming and testing of new applications, if needed, or modifies and enhances existing programs to ensure project success; works closely with programmers and analysts to coordinates the interface with PC-based electronic data exchange programs and PeopleSoft; assists with the implementation of new PeopleSoft modules or the modification of those that do not meet current needs; designs and develops fully integrated systems that enable staff to easily exchange data between Cal Poly Pomona and external parties, and ensures the integrity of the data exchanged. The incumbent works closely with job rotation partner in both a mentor and mentee role; mentors their partner in developing skills and knowledge of appropriate PeopleSoft module and related business processes and functions; participates in regularly schedule job rotation meetings; serves on committees; attends and participates in departmental and campus meetings/events/activities; utilizes advance communication and listening skills through effective interpersonal interactions, and written correspondence with Department, Division, University staff, and external contacts in person, telephone and via mail/email.

QUALIFICATIONS

A Bachelor’s level degree in Computer Science, Computer Information Systems, Information Systems, Engineering or a related field with five (5) years full time relevant experience OR twelve years of relevant full time experience. Experience with PeopleSoft, People Code, relational database and table structure along with fluency in SQL.

Finalists for this position may be required to submit to and successfully pass a background check prior to being hired.

PREFERRED QUALIFICATIONS

Knowledge of financial aid business processes and their interdepartmental and external relationships; familiarity with SQRs, XML Publisher and Application Engine.
