THE DEPARTMENT 

The Registrar’s Office is responsible for the integrity and accuracy of academic records, degree progress and evolution services, and the coordination and implementation of academic policies and procedures with academic departments and colleges. The office conducts all registration activities, processes grades quarterly, maintains accurate student records, verifies student record data, counsels students in academic peril, evaluates transfer credit, provides preliminary graduation checks, completes final graduation check-outs and provides diplomas.

DUTIES AND RESPONSIBILITIES 

The Associate Registrar develops and implements programs and services that support campus advisement; develops processes within the registrar’s Office that enhance graduation rates; and actively participates in Registrar’s and Enrollment Services cluster activities that provide support to enrollment related initiatives. The incumbent provides direction and oversight to the unit to ensure that graduation checks and graduation clearance are completed in a timely manner and in compliance with University, CSU and state regulations; ensures that the activities of the unit are supportive of the Graduation Initiative of the campus and that interaction with staff and faculty are service-oriented and professional; and  provides direction and oversight to ensure that the student administration system that generates the Degree Progress Report and Transfer Credit Report are functioning properly and accurately reflect university requirements.  The incumbent maintains awareness of developments and projects involving the Academic Advisement Module; coordinates quarterly student degree progress workshops; provides direction to the Articulation Officer; represents the Department or Division in committees or task forces; and hires, trains, develops, and evaluates performance of staff members.  The incumbent maintains current knowledge of university HR rules and union regulations; maintains the currency and effectiveness of the advising website; oversees the communication of important enrollment and graduation related information to students and performs other duties as assigned.

PREFERRED QUALIFICATIONS

The candidate must have a Master’s degree AND a minimum of three (3) years of proven management and supervisory experience in higher education, including experience in academic advising, academic records and related programs; collaborate management style, outstanding written and oral communication skills and a demonstrated ability to lead staff; and an understanding of and demonstrate a commitment to diversity.  The candidate must have the ability to problem solve, collect and analyze data and develop effective policies and practices; be service oriented and have a strong knowledge of records and policies, issues and practices.
