The mission of the College of Engineering is to educate engineers and technologist to meet increasingly complex technical and socioeconomic challenges. The College of Engineering provides study opportunities to more than 5,000 undergraduate and graduate students in seven engineering departments, offering eleven programs leading to Bachelor of Science degrees.
The Administrative Support Coordinator will coordinate the daily operations of the Aerospace Engineering department office and is the first point of contact for students, faculty and staff; respond accurately and effectively to numerous personal mail, e-mail and telephone inquiries; handle a variety of mail and other correspondences and multiple calendars; input the ARO class schedule into the on-line system; high level organizational and planning skills are required for smooth and efficient operation of the office. The incumbent will receive and forward a wide variety of student documents necessary for students' academic progress including academic petitions, course substitutions, change of major requests; request to drop or withdraw and other documents submitted by students; provide knowledgeable information to students regarding procedures for undergraduate and graduate degree programs. The incumbent will act as a liaison to campus administrators, faculty and staff on issues related to the Aerospace Department Office; coordinate activities with various organizations, departments and offices on campus; interacts with faculty, staff and students; represents the department in an informed and professional manner. The incumbent will provide administrative support and coordination for department functions and events such as Annual Alumni & Student Awards Banquet, Sigma Gamma Tau Initiations, Project Symposium, Summer Orientation, Bronco Engineering Days and Industry Action Council meetings; create materials for review by the department chair; independently handle many logistic and administrative details for these various events and perform other duties as assigned.
High School diploma or its equivalent AND four years of progressively responsible experience in general office clerical or secretarial work or the equivalent. The candidate must have thorough, detailed knowledge of applicable university infrastructure, policies, and procedures; thorough knowledge of English grammar, punctuation and spelling; thorough knowledge of office systems and ability to use broader range of technology, systems, and software packages. Must have the ability to independently handle multiple work unit priorities and projects; ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist; working knowledge of budget policies and procedures. Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections. Ability to draft and compose correspondence and standard reports and the ability to handle effectively a broader range of interpersonal contacts including those at a higher level and those sensitive in nature.
