Library Guides
Library Guides Location of guides

Purpose
Library guides are used to facilitate efficient use of and provide an introduction to our resources and services. Librarians are encouraged to prepare library guides for various subjects in their areas.

Types of Guides Covered by this Policy

(1) Subject guides prepared by the bibliographer.

(2) Guides for general research prepared by librarians or library assistants such as:

  • Bibliographic Citations
  • Biographical Information

(3) Guides prepared by other library units but distributed by reference such as:

  • Library Computing Resources
  • Library Networking Resources

Format
Library guides should be available in both a paper and an electronic format.

Responsibilities of Staff  (librarian / library guide coordinator & reference administrative assistant).

The librarian, in collaboration with the Reference and Instruction team, identifies guides needed and as necessary works with the person designated to create the guide, monitors accuracy and currency of guides, alerts librarians to timetable for updating guides so that they can be sent to Graphics for copying in a timely fashion before the beginning of a new quarter, updates general research guides, works with the reference administrative assistant to determine the quantity needed.

The reference administrative assistant monitors guides’ inventory, receives electronic copy of guide from librarians for insertion of prescribed library banner and to format document with approved font type, word processed updates of general research guides after receiving information from library guide coordinator, sends finished copy of guide to staff in Systems for conversion to HTML for the Library Guides web page, prepares paper work and submit requests for copying to Graphics, replenishes library guides in display stand in reference area as needed.

Responsibilities of the Guide Author
As a normal practice librarians will write and update the guides in their areas as well as those guides which are especially pertinent to their BI’s. It is the responsibility of the author of the guide to review their guides for accuracy and current ness. A major opportunity for revision comes with the announcement by the library guide coordinator of the date for materials to be given to the reference administrative assistant for sending to Graphics. Material not updated, indicated by a current revision signature-eg 9/2005 will be taken offline til the guide is updated.

In order for us to use Graphics at no charge and still receive the copies before the start of each quarter, we have been submitting our request to them several weeks prior to the quarter. Cooperation with this timetable means a decrease in emergency copying sent to Graphics, which does cost us money, and preservation of the of quality of our guides.

Statistics
At the end of each quarter, the library guide coordinator will distribute to the authors statistics detailing web usage.
