Happy 2006!

We decided that 2005 was a good year for I&IT – we accomplished a lot and identified priorities for the 2005-06 academic year.  So we expect that 2006 will be a busy, but good year, too!

We developed a mission statement and core values that position I&IT to focus on our service responsibilities and support learning in a highly professional way. Our mission and core values statements can be found at http://www.csupomona.edu/iit /division/mission.shtml .

IMPROVING OUR SERVICES

Viruses, Spam, Spyware

During the summer, I&IT added more stringent screening of incoming electronic mail messages. The result has been the elimination of thousands of “spam” emails. Basically, a “reverse DNS lookup” was instituted. Under this process, each incoming email message is quickly verified so that its IP address matches the registered Internet domain name. If so, the message passes. If not, it is returned undelivered. I&IT did this because most spammers use false domain names. The results have been generally positive, except for a number of instances in which legitimate email was tagged as spam. For these, I&IT has set up a verification process. If you feel you have not been receiving emails that you should, or have been notified by legitimate organizations that email to you is not going through, contact the Help Desk (909.869.6776) during standard business hours. There are trained specialists to work this. Please use caution when using wireless access outside of campus.  Wireless connections in your neighborhood or local coffee shop can leave your computer susceptible to viruses and spyware.  If you have reason to believe your computer has an infection, DO NOT hook up to the campus network.  Please contact your department administration so steps may be taken to repair the damage.  Other ways of preventing such problems can be the use of a firewall in your PC setting and using a private network key (WEP/WPA) for Internet access from such routers as Linksys, and Netgear.

NEW LEARNING-CENTERED TECHNOLOGY CLASSROOMS

During summer 2005 we collaborated with faculty, technical staff, and academic administrators to add learning-centered technology (link to http://www.csupomona.edu/~ehelp/lct/classrooms.html) to the following classrooms:

  • Building 2, rooms 112, 113, 126, 214
  • Building 5, rooms 106, 123, 126
  • Building 6, rooms 111, 204, 229
  • Building 7, rooms 201, 217
  • Building 98, room C6-6

During the holiday break, we completed:

  • Building 5, rooms 240, 244
  • Building 8, rooms 302, 348

It has been rewarding to design these learning spaces in partnership with the faculty members who use them and college technical staff members who provide support to the faculty.  We departed from the “lecture rooms only” rule of the past and introduced technology into a studio classroom (7-201) and a laboratory (2-126).  We are also working on a Chemistry lab (8-331).

Planning 30 more learning-centered classrooms

In January we will begin the process of selecting 30 additional classrooms to be transformed during the summer of 2006.  The rooms we’ve created so far serve Agriculture, Business, CEIS, CLASS, Environmental Design, and Science.  We look forward to working with the Collins School and Engineering, as well as continuing to enhance the learning experience in all of the colleges.

Moving toward Single Sign-On

Another recent development has been the use of BroncoNames instead of BroncoIDs as a means to sign on to most campus services. We started giving this to new applicants in October, 2005. For services such as BroncoDirect, campus electronic mail and Blackboard, users can use what we call their “BroncoName.” This is essentially their e-mail user name; mine is dabrum@csupomona.edu . PeopleSoft and BroncoDirect Progress and Plans

PeopleSoft and BroncoDirect represent a partnership of Academic Affairs, Administrative Affairs, I&IT and Student Affairs to provide information and services to the campus community.  We’re into our second year using BroncoDirect for student registration and faculty grading.  A year ago we had a “to-do” list of 250 items.  It grew to more than 300 items, but as of today we’re down to the last 50.  We can’t let up, though, because we’ve got a data center migration and a software upgrade coming down the road.

BroncoDirect quickly eclipsed the interactive voice response system (IVR) – and IVR will be gone by the end of January, 2006!  We enhanced the faculty grading experience by providing a confirmation notice that takes the uncertainty out of the process.  We’re turning our attention to services that relate to advising.  We’re making strides in processing transfer credit and building the degree-audit system.

Many department and college administrative staff have become PeopleSoft/Bronco Direct experts, able to answer faculty and students questions

During registration, students and faculty members can call the help line in Undergraduate Studies at ext. 6975 – the staff is adept at diagnosing enrollment issues.

The Registrar’s Office is the definitive source for information about student data, service indicators, class rosters, and grading (extension 4900).

Increased Campus Information Security, Awareness

The security scare of last summer is now more than 6 months behind us. To date there is no reason to believe that anyone’s personal information was lost.  Very good news, but no reason to be complacent!  Identity theft is a common crime and is one that can be devastating.  Information security is the theme for IT Governance this year; each of our subcommittees has at least one task related to information security.  I&IT sponsored a security fair this fall during national Information Security Awareness Week.  We are grateful to Chris Laasch of Student Affairs and Dave Lyon of I&IT for their leadership in planning and delivering the fair.  We joined forces with the annual Wellness Fair and we appreciate the partnership with University Health Services.

You will hear more as we expand our awareness campaign in an effort to enlist all of you in helping to ensure that everyone’s confidential information is protected.

Email Enhancements for Faculty/Staff

The university’s Intranet, which has supported faculty and staff email and file storage needs for nearly 10 years, is at the end of its life. The first step in replacing the Intranet is to move faculty and staff email to the campus Exchange server.  We upgraded the Exchange system during summer 2005 to ensure its performance.  About half of the faculty and staff have made the move, and we strongly encourage those of you who have not to make the jump!  Your e-mail service will improve dramatically.  By migrating to Exchange and optimizing settings on your e-mail client, you should see performance gains, greater security and reliability, faster speed, better virus protection and better spam blocking.

Acceptable Email Service for Students

I&IT is working with technology staff and faculty from across the campus to design a replacement student e-mail service.  I&IT will begin to implement the new system in February or March, with a completion goal of July, 2006.  We look forward to providing students the kind of state-of-the-art e-mail service that they should be able to expect from a learning-centered polytechnic university.

Completing the faculty laptop plan

The last of the laptops to be delivered to current tenure-track faculty have been ordered.  I&IT delivered the first 250+ laptops and now the IT professionals in the colleges have taken on the delivery process.
