Accommodating the Daylight Savings Time change

As of March 11, 2007 Daylight Savings Time (DST) begins three weeks earlier than in the past and runs one week longer.

DST ends November 4, 2007 at 2 AM (first Sunday in November).

The majority of computer-based devices, including computers, Personal Digital Assistants (P Das) and cell phones, have been pre-programmed with the historic version of DST and need updates.

Even though this change was decided more than a year ago, vendors only recently released patches to accommodate the change.

The most important aspect of this change is that changing Outlook calendars correctly requires individuals who set the meetings patch their clients. There are several aspects to this change:

Below are instructions for updating Outlook, the leading Windows client that works with the campus’ Exchange Email server, and Entourage, the Macintosh version.

Outlook Instructions

Below is an outline on how to update Outlook. For the latest full instructions from Microsoft, see DST.

  1. Before running calendar update tool, install all Microsoft windows updates (link opens in a new window). Note: To make sure that Microsoft Windows has the latest time zone data, install the update that is described in Microsoft Knowledge Base article 933360. The latest news regarding DST will be available at http://support.microsoft.com/gp/dst_hottopics (link opens in a new window). Users will not be impacted with this update as long as update KB 93360 is installed in user's system. This installation should have already been done in March 2007, so most users won't need to do anything.

  2. Print your calendar items for the current month. Remember, the tool will change appointments items you created and will send updates to your attendees of your meetings. So, it is important that others do the same procedure as specified by Microsoft.
  3. Download the Microsoft Tool to update Time Zone in Outlook Calendar Applications (link opens in a new window) and save it to your hard disk (e.g. C:, Desktop or My Document).
  4. Double-click the tzmove.exe program file on your hard disk to start the Setup program.
  5. Follow the instructions on screen to complete the installation.
  6. Choose your OUTLOOK MAILBOX from the Data File option.

Entourage Instructions

Note: Updates should already have been done in March 2007, so most users will not need to do anything.

If a user is on OS X 10.4.5 or above, no patch is needed.  

If a user is on OS X 10.3, he/she only needs to make sure that he/she installs the updates shown in Apple's Software Update (link opens in a new window).

If a user is on OS X 10.2.8 or earlier, the adjustment needs to be done manually through the Date and Time control panel.

  1. Print your Entourage calendar items for the current month. Remember, the tool will change appointments items you created. So, it is important that others do the same procedure as specified by Microsoft and Apple.
  2. Internet access is required to update your OS X with the latest security and system updates directly from Apple. Software Update, located in the Apple menu, will automatically download the latest Apple software.
  3. You must have internet connection to update your Entourage 2004 to version 11.3.4.

 

There are two methods to update your calendar items:

  1. From your computer Application folder, you can launch Microsoft Office Auto Update utility. Go to your Application folder and double click on "Microsoft AutoUpdate.app" Please, it might necessary to launch the utility and check for updates several times, specially, if you never updated your Entourage. You must install all previous updates and 11.3.4 to be successful for the new Time Zone change.
  2. Or, you can go to the Microsoft site and download the update. See the following page if you have older versions of Entourage. Download from here and click on Microsoft Office 2004 for Mac 11.3.4 Update. Note: Link opens in a new window.

Cell Phone-PDAs that Synchronize with Campus Email, Calendar, Contacts

Also affected are PDA cell phones that sync with Exchange. Information typically synched includes email, calendar items, contacts and notes.

Palm, one of two major operating system (OS) PDA vendors, has recommended the following models need a special update to accommodate the DST change::
