Before an Employee Can Be Authorized to Drive on University Business

Before authorizing an employee (Faculty, Staff, Student Assistant, or Volunteer) to drive any vehicle on university business they must comply with the following requirements/steps:

  • Possess a valid California Driver's License
  • Enroll in the Employer Pull Notification Program
  • Complete Defensive Driver Training
  • Complete Authorization for Use of Personal Vehicle

Note that 'vehicle' includes but is not limited to the employee's personal vehicle, a rental vehicle, state vehicle (i.e. car, truck, van, electric cart, farm equipment, etc.)

California Driver's License

Employees who drive on university business must possess and maintain a valid California driver's license. The driver's license must be appropriate for the job and vehicle(s) to be operated.

DMV Pull Notification Program

Employees who drive on university business must be enrolled in the Employer Pull Notification program. The California Department of Motor Vehicles provides an initial DMV report to the university and sends updated reports when there is a change to the employee's driving record, i.e. tickets, suspension, etc. The Employer Pull Notification program is key to maintaining the safety of our drivers and campus community at large.

To enroll, please complete the Application for Vehicle Operation and Authorization to Drive University/State Vehicle and submit it to Loretta Roth, Organizational Development & Training (ODT), CLA Building 98, Room B1-102. Within 3-4 weeks, we will receive the DMV report and notify the employee and their manager of the authorization status.

Defensive Driver Training Program (DDTP)

Employees who drive on university business must have completed the CSU approved Defensive Driver Training Program (DDTP) in the past four years and have agreed to re-certify every four years. This program is mandated for employees who drive on university business at a frequency of at least once per month. It is recommended for all employees who drive on university business.

Authorization to Use Privately Owned Vehicle on State Business

If using a private vehicle on university business, the employee must complete and have on file in the department a current STD Form 261--Authorization to Use Privately Owned Vehicle on State Business. This form needs to be re-certified annually and maintained in the employing department.

California State University (CSU) Use of University and Private Vehicle Policy Guidelines

Employees who drive on university business must review and agree to abide by the California State University (CSU) Use of University and Private Vehicle Policy Guidelines.

Authorization to Travel on State Business

An Authorization to Travel on State Business form (F-2963-00) must be completed to cover each instance the employee will be driving on university business.
